Email Sending Policy

Viridian, by Emerald One LLC

Last updated: October 21, 2026

Viridian lets organizations send email to the people they work with: newsletters, event invitations, fundraising appeals and announcements ("email blasts"). Every organization that sends email through Viridian agrees to this policy. It keeps your mail welcome in people's inboxes, and it protects every other organization that sends through Viridian.

Send only to people who asked to hear from you

You may email people who gave your organization their email address and agreed to hear from you: members who joined, people who signed up on your forms or website, people who registered for your events, and supporters who opted in when they gave.

You may not email addresses that were:

  • bought, rented, borrowed or traded, including lists from vendors, other organizations or other campaigns;
  • copied from voter files, public records, membership directories or websites;
  • collected for another purpose without saying you would email them;
  • gathered by tools that scrape or guess addresses.

When you import a spreadsheet of contacts, you tell Viridian which topic those people agreed to, and Viridian records that consent on each contact. Only import people who really signed up.

What every email includes

Viridian adds these to every email blast for you, and they cannot be removed:

  • who it is from, with your organization's name and postal address;
  • why the person is getting it;
  • a link to manage their email preferences and to unsubscribe;
  • a one-click unsubscribe that mail apps such as Gmail, Yahoo and Apple Mail show at the top.

You agree to use subject lines and sender names that are honest about who you are and what the email is about.

Unsubscribes, bounces and spam reports

  • When someone unsubscribes, they stop getting that kind of email right away. Do not add them back unless they ask.
  • When an address bounces because it does not exist, Viridian stops sending to it.
  • When someone marks your email as spam, Viridian unsubscribes them from all of your organization's email.

Limits, and when sending pauses

Viridian watches how every send is received:

  • Your organization's first send to more than 500 people waits for a quick review by Viridian before it goes out.
  • If a send draws more than 1 spam report for every 1,000 people, or more than 5 bounces for every 100, your organization's sending pauses until Viridian has reviewed it with you.
  • Viridian may pause or end sending for an organization that breaks this policy, or whose mail is putting other organizations' delivery at risk.

Content that is not allowed

You may not use Viridian to send email that is illegal, deceptive or harmful, including phishing, malware, impersonation of another person or organization, harassment or threats, or sexually explicit material. Political and advocacy organizations may send political email; it must identify who is sending it and follow the laws that apply to it.

Follow the law

You are responsible for following the email laws that apply to your organization and the people you write to, including the US CAN-SPAM Act and, when you write to people in other countries, laws such as Canada's anti-spam law (CASL) and the EU's GDPR.

Reporting abuse

If you received an email sent through Viridian that you did not ask for, use the unsubscribe link at its bottom, and tell us at support@viridiancrm.com. Please include the email, or the name of the organization that sent it. We look into every report.

Changes

We may update this policy. When we make a significant change, we will tell organizations that send email through Viridian before it takes effect.
